Here’s how much you’ll pay for each of the plans:

  • Professional — $12 (roughly £9) monthly, per employee
  • Teams — $16 (roughly £12) monthly, per employee

Let’s take the Basic plan, for example. It’s free, offering single users one calendar and one event type. The meeting type determines its details — its length, availability, name, description, and location. These one-type meetings are unlimited in number.

Calendly can sync with calendars from Google, Microsoft, Outlook, and Apple. However, you get to connect just one for free. Essentials users get two, Pro and other users — up to six external calendars. Meetings scheduled through Calendly will reflect on these.

Calendly has a good hold of time zones. Not only does it detect your time zone — it does the same with your clients’ time zones. Consequently, you both have appointment times in your own time zone. 

Another useful organisational tool Calendly makes easy to use is a buffer. With buffers, you can specify a 15-minute break between meetings to recharge or prepare for the next appointment. Setting them up is easy from your phone or computer.

Invoicing, Billing, and Stock-Keeping

There are two ways for you to charge customers through Calendly — via PayPal or Stripe. However, billing is available starting from the Professional subscription tier.

As for payment processing hardware, this booking website offers none. That’s what Calendly alternatives like Fresha and Square Appointments are for. If keeping stock is your concern, note that Calendly doesn’t have an internal solution for that.

Reminders and Notifications

With meeting reminders, Calendly tells the same story most booking apps do. Email reminders for free? Sure. SMS reminders? Sure, if you pay for them. Calendly notifies both you and your customers of each scheduled and cancelled meeting.

As for valuable customer input coming back to you automatically, don’t expect it for free with Calendly, nuh-uh. Automated review requests are part of its paid subscriptions.

Booking Forms

The way Calendly handles customisable questionnaires is straightforward. There are up to ten invitee questions for you to specify. You can mark them as you like and even choose the answer type. Yes, fellow nerds, there are checkboxes!

All the info your customers provide is, of course, kept in a database. Unfortunately, it seems that customers can’t attach any files through the forms — but there are always runarounds. Add-ons are what I have in mind and will cover later in this Calendly review.

Calendar Design, Integration and Customisability

If you want to integrate the Calendly scheduling app into your website, choices are between inline embedding, pop-up text, or a pop-up widget. You can see how these three look in practice on Calendly’s website.

Another sweet addition to the free meeting scheduler is personalised branding. It’s not that you get to remove Calendly’s logo — you can do that with Professional and upper plans. Free users can attach their visual identity next to Calendly’s.

That’s not all there is to customising your booking page design. You can also choose your page name and your welcome text.

Oh, and scheduling languages? Calendly covers them fairly well. You can use French, Spanish, German, Brazilian, Portuguese, Dutch, and Italian for your booking page and event notifications. 

Add-Ons

Slack and Intercom — these two you get through Calendly’s free plan. 

Slack is the go-to tool for efficient internal communication, and its choice of smileys is exquisite! Yes, sir, you can react to that quarterly report with a dancing duck GIF.

Intercom, on the other hand, is a customer communications behemoth. With its advanced algorithms, leads turn into customers, and the customers have a help desk available 24/7.

Other noteworthy solutions that Calendly supports include HubSpot, MailChimp, Salesforce, Gmail, and Outlook. The caveat with all of these — you’ll need at least the Professional plan. Even Teams, for Salesforce. 

With external solutions, you get advanced customer relationship management (gift cards, membership benefits, and coupons). These you hook up to Calendly through Zapier. Buyer beware, Zapier integrations also require the Professional plan, at least.

And now to the brighter side of things. You can integrate a lot of video conferencing apps with Calendly. Zoom, Microsoft Teams, Google Meet, GoToMeeting, and Webex are on offer. All free!

Seems that every online scheduling app, besides Setmore, is web-based. Calendly certainly is. Its users also get access to mobile booking apps, whether on Android or iOS. Calendly apps also have good ratings — 4.5 on Google Play, 4.8 on Apple’s App Store.

Next to mobile booking apps, Calendly provides online scheduling browser extensions for Chrome, Mozilla, and Edge. There’s also an email add-in Calendly users can use within their Outlook accounts.
