Though often compared to QuickBooks Online, FreshBooks has some distinct features that make it a better fit for certain small businesses. The software stands out for its advanced invoicing capabilities and intuitive user interface, and it is especially well suited for small businesses and sole proprietors.

In this FreshBooks review, I will go over the features that make FreshBooks unique and give you my thoughts on whether or not FreshBooks is the right accounting software for your small business.

What is FreshBooks?

FreshBooks is an online invoicing and accounting software geared towards small and medium-sized businesses and freelancers. The company helps businesses stay on top of their finances with its easy to use invoicing, expense management, time tracking, and online payment solutions. 

FreshBooks was launched in 2003 in Toronto, Canada. At the time, its co-founder, Mike McDerment, accidentally saved over an old invoice while working at a four-person digital agency. 

Frustrated with the countless hours of work he lost as a result, he decided to create his own invoicing software for small businesses and started the foundations of what is now FreshBooks.

Since then, FreshBooks has grown into a fully-fledged, double-entry online accounting solution with 30+ million users in 160+ countries worldwide.

In the UK, FreshBooks was launched in 2019. To mark its UK launch, the platform announced a special set of features aimed at its UK customers, such as connections to UK-specific bank accounts, a mileage tracker, and HMRC-approved Making Tax Digital for VAT.

How does FreshBooks Work?

As a cloud-based accounting software, FreshBooks can be accessed from any device with an internet connection. The platform also offers a dedicated mobile app for Android and iOS devices, which allows users to work from anywhere.

FreshBooks comes with an intuitive and user-friendly interface. 

All of the platform’s functions are also clearly laid out in the side panel on the left. From there, you can access your clients, invoices, payments, expenses, estimates, projects, as well as the built-in timer. 

When you first sign in, you will be welcomed by the main dashboard, which provides shortcuts to everyday tasks completed with the platform, such as sending invoices and adding clients and services.

Invoicing

FreshBooks is often hailed for its excellent invoicing capabilities. One of the reasons for that is that, unlike many other accounting applications, the platform includes unlimited invoices in all its plans, including the cheapest Lite plan.

Furthermore, creating professional-looking invoices is quick and easy with FreshBooks. Adding clients and services is really simple, and FreshBooks speeds up the whole process by remembering the information you’ve entered into previous invoices. 

Whenever you enter a client, FreshBooks also automatically calculates the total and subtotal amount due, as well as any taxes that may apply.

Expense tracking is made even easier when you connect your bank account to FreshBooks as, in that case,  the software will automatically import and categorise your expenses for you. This is helpful come tax time as you can easily export all your business expenses and send them to your accountant. 

FreshBooks Mobile Apps

FreshBooks also offers dedicated mobile apps for Android and iOS devices, allowing users to manage expenses, invoice clients, and keep an eye on their finances directly from their smartphone or tablet.

While you may find that some of the features, such as invoice creation, don’t work as smoothly on mobile as they do on the web-based version of the software, the app is still a great way to keep track of your FreshBooks account while on the go.

Perhaps the most notable feature of the app is the mileage tracker, which lets you log the distance travelled for business purposes with your phone’s GPS, which you can claim as an expense at tax time.

FreshBooks has three pricing plans to choose from. You can try out each of the plans for free for 30 days to get a feel of the platform before committing to a paid subscription. You can also choose whether you want to be billed monthly or annually.

FreshBooks’s cheapest package comes at  £11 per month (or £9.90 per month if you’re billed annually) and is suitable for small businesses and startups with up to five clients. 

If you need FreshBooks’s more advanced features or you have outgrown the five-client limit, then you will need to sign up for one of FreshBooks’s two pricier plans.

The next step up is the £19 per month (or £17.10 per month if billed annually) Plus package, which increases the client limit to 50 clients and gives you access to more advanced features, such as double-entry accounting reports and the ability to set up recurring invoices.

Keep in mind that each additional client will cost you £7 per person per month.

The most expensive FreshBooks package is the Premium plan, coming at £30 (or  £27 per month if billed annually). The FreshBooks Premium plan removes the client limit and adds even more advanced features, such as the ability to automatically send late payment reminders and track project profitability.

In addition, filing Making Tax Digital VAT return is much simpler with QuickBooks, as the software allows users to submit VAT returns directly, without ever leaving the site.

Unlike FreshBooks, QuickBooks also offers a payroll add-on that comes with an impressive set of features, from HMRC submissions to statutory payments. Another thing FreshBooks lacks in comparison to QuickBooks is a dedicated self-employment package. 

On the flip side, FreshBooks is the better option when it comes to features such as invoicing, time tracking, and handling expenses. FreshBooks also allows an unlimited number of users with its highest plan, while QuickBooks’ highest tier is limited to only five.

FreshBooks vs Xero

Xero is another FreshBooks alternative that’s popular among small businesses and startups. Like FreshBooks, Xero is cloud-based accounting software, but it has a somewhat wider range of accounting features. 

Beyond the basics like invoicing, expense tracking, and payment, Xero also offers features like inventory management, bank reconciliation, a payroll add-on, and the ability to make batch payments.

However, Xero is more limited when it comes to invoicing, as its entry plan limits the number of invoices you can send to only 20. In contrast, FreshBooks allows you to send unlimited customisable invoices with all its plans.
