Kashoo is a cloud-based accounting application designed for small business owners, freelancers, and sole proprietors who want to manage their accounting processes without professional assistance. It is a simple, double-entry accounting solution that allows you to automate everyday business tasks and get an overview of your cash flow without any previous bookkeeping experience.

In this Kashoo review, I’ll go over the main features of this small business accounting software and how it can help you manage your business finances. So stay tuned if you want to know whether Kashoo is the right accounting system for you.

About Kashoo

Kashoo was founded in 2008 and is based in Vancouver, BC, Canada. Although a lesser-known accounting software than the likes of QuickBooks Online or FreshBooks, Kashoo has a loyal user base of more than 150,000 subscribers from over 180 countries worldwide.

A big part of Kashoo’s appeal lies in its simplicity — the software is incredibly easy to set up and use, and it covers all the basics of small business accounting, including income and expense management, project tracking, and an integrated payroll solution.

Available for only $30/month (roughly £26), Kashoo is also one of the most affordable accounting solutions on the market, and it covers an unlimited number of users. As a cloud-based platform, Kashoo doesn’t require any installation and can be used on any device that can be connected to the internet.

Aside from the web, you can also access the software through its dedicated iOS mobile app. In addition, Kashoo is the first small business accounting service to develop a full-featured iPad app for its software. That said, it is important to note that Kashoo lacks an Android accounting app.

Truly Small Business Plans

Kashoo has recently made a few changes in its pricing structure. Aside from its flagship Kashoo Classic plan, the company has also introduced two additional plans called Truly Small Invoices and Truly Small Accouning.

Unlike the Kashoo Classic plan, the Truly Small plans are available on both Android and iOS, as well as on the web. They are designed to simplify the bookkeeping process and tailor it to the needs of very small, new businesses that haven’t yet made the switch to the cloud.

Truly Small Invoices is a free invoicing app that covers all the basics of invoicing, such as sending invoices and receiving online payments, whereas Truly Small Accounting is a double-entry accounting solution that includes a range of features, from invoicing to expense tracking and reporting.

The software is based on machine learning, where Kashoo reconciles expenses with bank transactions and provides accurate, real-time reports in a single click.

But, while the Truly Small plans are nice additions to the Kashoo accounting platform, it is its flagship Kashoo Classic plan that offers the most functionality for small businesses looking to move their accounting to the cloud.

Let’s take a look at some of its main features.

Kashoo Classic Ease of Use

To sign up for the Kashoo accounting software, you only need to enter your email address and password, as well as some basic information about your business, such as its name and where it is based. All Kashoo plans can be tried for free for 14 days, and the software doesn’t oblige you to enter any credit card details, so you won’t be charged automatically after the trial period is over.

Even though there is no step-by-step setup tutorial when your first log in to the platform, it is still pretty easy to get your account up and running. Simply navigate to the Settings menu, and from there, you can enter your business details (business logo, name, type, industry), manage your subscription, supply invoice details, and set up sales taxes.

As part of the setup process, you will also need to connect your bank account, which will allow you to set up bank feeds and import transactions.

You can also add new users and assign them different access levels (Admin, View/Edit Only, and Edit Only) depending on their role. Unlike some of its competitors, Kashoo doesn’t limit the number of users, so you can add as many new users as you like.

Finally, from the Add-ons tab, you can integrate with a payment processor, such as Stripe or Square, so that you can receive online payments on your invoices. Overall, setting up your account with Kashoo is straightforward and shouldn’t take up too much of your time, especially if you’ve used cloud accounting software before.

Kashoo Classic User Interface

Kashoo Classic’s user interface is easy to navigate and intuitive. Unlike most competitors, Kashoo doesn’t have a traditional dashboard with an overview of your business’s financial health. Instead, the home page displays two tabs that you can toggle between, one for entering income and the other for entering expenses, where you can easily enter your income and expense transactions.

On the right side of the screen, Kashoo provides your account balance, allowing you to keep track of your year-to-date spending and earnings. In addition, the software automatically calculates your net income.

The navigation bar on the left side of the screen provides easy access to Kashoo’s features, with options including Invoices, Bills to Pay, Cheques, Banking, Journal Entries, and Sales Tax.

Here, you can also find your lists, such as Clients, Suppliers, Items, and Accounts, and access Kashoo’s reports. There is a total of eight reports to choose from, including Income Statement, Unpaid Invoices, Unpaid Bills, and General Ledger.

At the very bottom of the navigation bar, you will find Kashoo’s only add-on, and that is Payroll.

Kashoo Features

Invoicing

Kashoo offers a basic but intuitive invoicing feature. The invoice creation window is self-explanatory and easy to navigate, and most of the information you will need to enter, such as client, category, and sales tax, can be chosen from dropdown menus.

To add a client, you can either select from one of your existing clients or enter a new one right then and there, with no need to switch between different pages of the platform. Once you’ve added the category, quantity, price, and sales tax, the software will automatically give you a breakdown of the subtotal and the total amount due.

Once you’ve created the invoice, you will find it in the transaction list at the bottom of the page, and from there, you can personalise it with your brand logo or change its template.

To send the invoice, you can either download a PDF copy of it or email it directly from within the software. If you have regular clients, you can also create a recurring invoice, which the software will send out automatically at regular time intervals.

Expense Tracking

Managing and tracking expenses is easy with Kashoo, and you can do it on both the web application and the iOS mobile app. Once you’ve made a business purchase, you can simply take a photo of the receipt and attach it directly to the expense. In addition, from the Bills to Pay section of the dashboard, you can add new bills and recurring bills and view a list of all your bills — both paid and overdue.

Connect Bank Account

Once you connect your bank account to Kashoo, all your bank and credit card transactions will be automatically imported. Kashoo supports more than 5,000 banks worldwide, including some of the largest UK banks, such as HSBC, Barclays, Lloyds Banking Group, Royal Bank of Scotland, and many others.

Reporting

Kashoo covers the following financial reports

  • Unpaid Invoices
  • Unpaid Bills
  • Trial Balance
  • Balance Sheet
  • General Ledger
  • All Transactions
  • History

In addition, you can export all of these reports to an Excel, CSV, HTML, or PDF file, which can come in handy if you want to analyse the numbers in a spreadsheet or hand the reports over to your accountant.

Sales Tax

With Kashoo, you can also track the sales taxes for goods and services sold. Once you’ve added a particular sales tax, you can add it to your invoices and expenses, and Kashoo will automatically track the amount of sales tax you are paying or charging without you having to do the calculations yourself. Moreover, the software lets you add as many sales taxes as you want, and you can even set default tax rates for certain items and clients.

Customer Support

Kashoo offers excellent customer support with email, live chat, and phone support, all free and unlimited for all users. Support hours are Monday to Friday from 6 am to 5 pm, and Kashoo promises to respond to all questions within 24 hours or less.

In addition, Kashoo’s Help Centre is a rich source of online documentation about the platform’s inner workings. What’s more, you can access the help centre from within the live chat, where you can search for articles related to your query while waiting for a response.

Kashoo Pricing

With the introduction of the Truly Small plans, Kashoo now offers three pricing plans to choose from

Kashoo Alternatives

Kashoo vs QuickBooks Online

QuickBooks Online is one of the most popular web-based accounting solutions on the market. It offers three plans for small businesses, ranging from £12 to £32 a month, and unlike Kashoo, it also has two plans specially geared towards freelancers. QuickBooks Online offers more advanced features than Kashoo, including time tracking, inventory management, and its own payroll solution.

Plus, for UK users who are VAT registered, QuickBooks Online is the obvious choice, as it lets you submit VAT returns for Making Tax Digital directly with HMRC, while Kashoo offers no such feature.

However, unlike Kashoo, QuickBooks Online limits the number of users you can add to your account to only five and three with its highest and medium plan, respectively, while the entry-level solution doesn’t allow you to add any additional users.

Kashoo vs Xero

Xero is another suitable alternative to Kashoo if you are looking for a more feature-rich accounting application. Xero offers four plans to choose from, with prices ranging from £12 to £49.

What’s unique about Xero is that some of its more advanced features, such as payroll, expense management, and project tracking, are offered as optional add-ons that you have to pay extra for. Like Kashoo, Xero doesn’t limit the number of users you can add to your account and is perhaps the best accounting software for inventory management as it includes it for free on all its plans, including the cheapest.

Xero is also a more suitable alternative if you are VAT registered, as, unlike Kashoo, it offers VAT return filing. However, Xero falls short when it comes to customer support, as there is no live chat or phone support available.

Wrap Up

All things considered, Kashoo is one of the most user-friendly and affordable double-entry accounting solutions you can invest in currently. That holds especially true if you only have basic accounting needs and you value ease of use and customer support over advanced features, such as inventory management, tax planning, or time tracking.

So, if this Kashoo review sparked your interest, be sure to sign-up for the risk-free 14-days trials, and see if this small business accounting software is the right option for you.
